Ebenezer International Christian Academy ("EICA," "we," "us," or "our") is a private, Cognia-accredited online Christian high school serving students in grades 8 to 12. This Privacy Policy describes how we collect, use, share, and protect personal information through our website at https://eicaschool.com, our enrollment and student services (including those we provide through the Edutino platform), our text message and messaging programs, our hiring process, and our marketing activities (together, the "Services").

This Privacy Policy applies to people in the United States. Our Services are not directed to people outside the United States.

Personal Information We Collect

Information you provide to us

Depending on how you interact with us, you may provide:

• Contact form data, such as your name, email address, phone number, and the content of your message when you contact us through our website.
• Teacher and job application data, such as your name, contact information, education and degree information, work history, and the resume file you upload when you apply through our website.
• Enrollment and student data, collected when a student enrolls or attends EICA through the Edutino platform, such as the student's name, date of birth, contact information, grade level, academic records (for example, coursework, grades, prior school records, and transcripts), and account login information.
• Parent and guardian data, such as the name, relationship to the student, email address, phone number, and mailing address of a student's parent or guardian.
• Payment and transaction data, such as tuition and fee amounts, payment plan details, payment history, and billing contact information. Online payments are processed by Stripe. EICA does not receive or store full payment card numbers. If you pay in person at our office by cash, check, or another accepted method, we keep a record of that payment.
• Survey data, such as your responses to surveys we host on the Edutino platform.
• Communications data, such as the content of emails, phone calls, text messages, WhatsApp messages, and social media messages you exchange with us.
• Marketing data, such as your preferences for receiving marketing communications from us and information about your engagement with them.
• Other data that you choose to give us, which we will use as described in this Privacy Policy or as explained when we collect it.

Government identifiers. When a student enrolls, we collect the student's Social Security number and a copy or the details of a government-issued identity document (for example, a driver's license, state ID, or passport). We use this information only to verify identity, maintain accurate student records, issue diplomas and transcripts, and meet legal, accreditation, and reporting requirements. It is stored on the Edutino platform with restricted access, is never used for advertising, and is never shared with advertising partners.

Information collected automatically

When you visit our website, we, our service providers, and our advertising partners may automatically collect:

• Device data, such as your IP address, browser type and version, operating system, device type, language settings, and general location (such as city or state) derived from your IP address.
• Online activity data, such as the pages you view, how long you spend on them, the website you visited before ours, links you click, and whether you submit a form.
• Advertising identifiers and event data, collected through advertising pixels and tags from Meta (Facebook and Instagram), Google, TikTok, and similar platforms, such as cookie identifiers and information about actions you take on our website.
• Security data, such as information hCaptcha collects about your device and interactions to tell people apart from automated spam when you submit a form.
• Email interaction data, such as whether you open our emails or click links in them.

Sources of Personal Information

We collect personal information:

• Directly from you, for example when you fill out a form, enroll, apply for a job, make a payment, or contact us.
• From parents and guardians, who provide information about the students they enroll.
• From students' prior schools, such as transcripts and records sent to us as part of enrollment.
• Automatically, through cookies, pixels, and similar technologies on our website.
• From service providers that help us run our Services, such as Edutino, Stripe, and Ponemus.
• From advertising and social media platforms, such as Meta, Google, and TikTok, for example when you respond to one of our ads or send us a message through one of these platforms.

Cookies, Pixels, and Similar Technologies

Our website uses cookies, pixels (also called tags or web beacons), and similar technologies. These technologies help our website work, protect our forms from spam, measure how visitors use our website, and measure and target our advertising. Specifically:

• Analytics: Ponemus provides website analytics for us through its analytu.com service, which helps us understand which pages are visited and how visitors move around our website.
• Advertising: We use pixels and tags from Meta, Google, TikTok, and similar platforms to measure the results of our ads (conversion tracking), to show our ads to people who have visited our website, and to reach people similar to our visitors. These companies may collect information about your activity on our website and on other websites and apps over time.
• Spam protection: hCaptcha runs on our forms to block automated spam.
• Fonts: Our website loads fonts from Google Fonts, which means Google receives your IP address and basic browser information when a page loads.

How We Use Personal Information

We use personal information for the following purposes, or as otherwise described when we collect it:

• Providing education and student services: processing enrollment, operating student accounts, delivering courses, recording grades, issuing diplomas and transcripts, and communicating with students and parents or guardians.
• Payments: processing tuition and fee payments, managing payment plans, and keeping financial records.
• Responding to you: answering questions, requests, and feedback, and providing support.
• Hiring: reviewing teacher and job applications, contacting applicants, and making hiring decisions.
• Communications: sending service announcements, reminders, and administrative messages by email, phone, text message, or WhatsApp.
• Marketing and advertising: sending marketing communications (where you have agreed to receive them), and, with our advertising partners, showing ads for EICA to people who may be interested and measuring how well our ads work. We do not use student education records for advertising.
• Analytics and improvement: understanding how our website and Services are used and improving them.
• Security and fraud prevention: protecting our website, forms, and systems, and preventing spam, fraud, and misuse.
• Compliance and protection: complying with laws, accreditation standards, lawful requests, and legal process; enforcing our policies and agreements; and protecting the rights, privacy, safety, and property of our students, families, staff, and others.
• De-identified and aggregated data: creating de-identified or aggregated information (for example, enrollment totals) that does not identify you. We will not attempt to re-identify such information, except to test whether our de-identification methods meet legal requirements.

If we want to use your personal information for a new purpose that is not compatible with the purpose for which we collected it, we will ask for your consent where the law requires it.

How We Share Personal Information

We may share personal information with the following parties, or as otherwise described in this Privacy Policy or when we collect it:

• Service providers that perform services for us and may use personal information only to provide those services, including:
  • Ponemus, for website development, hosting, email delivery, and website analytics (through its analytu.com service);
  • Edutino, which provides our student information system, enrollment, student accounts, coursework, and surveys;
  • Stripe, which processes online payments. Stripe may also use payment data as described in its own privacy policy at https://stripe.com/privacy;
  • hCaptcha, which protects our forms from spam; and
  • Google Fonts, which delivers the fonts used on our website.
• Advertising partners, such as Meta (Facebook and Instagram), Google, TikTok, and similar platforms, for the advertising purposes described above. This may include website activity collected through pixels and, in some cases, contact information (such as an email address) that the platform uses to match you with its users for custom or similar audiences. We do not share student education records or text message opt-in data with advertising partners.
• Third parties you direct us to share with, such as colleges, universities, employers, or other schools that you ask us to send a transcript or record to.
• Professional advisors, such as lawyers, accountants, auditors, and insurers, in the course of the services they provide to us.
• Authorities and others, such as law enforcement, government agencies, and courts, when we believe in good faith that it is required by law or needed for the compliance and protection purposes described above.
• Business transferees, such as a successor organization, if EICA is involved in a merger, reorganization, sale of assets, or similar transaction, subject to the protections required by law for student records.

We do not sell personal information for money.

Text Messages, SMS, and WhatsApp

By providing your phone number, you consent to receive marketing, promotional, and transactional messages from Ebenezer International Christian Academy via SMS, MMS, or messaging services such as WhatsApp. You may withdraw consent at any time by replying "STOP" or contacting us at (305) 792-8242 or info@eicaschool.com. Reply "HELP" for help. Message frequency varies. Standard message and data rates may apply. Consent to receive marketing messages is not a condition of enrollment or of buying any goods or services.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with service providers that help us deliver our messages and support those services (such as messaging platform providers and customer service tools), who may use it only for that purpose. This restriction applies even where other sections of this Privacy Policy describe sharing with advertising partners.

Children and Students

Many of our students are under 18. We collect and use student information to provide education and related services, and we take extra care with it.

• Age requirement: Students must be at least fourteen (14) years old to enroll, and students under eighteen (18) must be enrolled by a parent or legal guardian. The parent or guardian provides the student's information during enrollment and may review it, ask us to correct or delete it, or refuse further collection or use by contacting us using the details in How to Contact Us. Refusing further collection may mean we can no longer provide educational Services to the student.
• Children under 13: Consistent with the Children's Online Privacy Protection Act (COPPA), we do not knowingly collect personal information from children under 13.
• Our website: Our public website is designed for families, students, and job applicants. If you believe a child under 13 has given us personal information without a parent or guardian's consent, please contact us and we will delete it as required by law.
• No advertising use of student records: We do not use student education records, grades, or other student information collected through enrollment for advertising, and we do not sell student information.
• Consumers under 16: We do not knowingly sell or share for targeted advertising the personal information of consumers under 16. If we learn that we have done so without the authorization required by law, we will stop.

Student Education Records (FERPA)

We handle student education records in accordance with the Family Educational Rights and Privacy Act (FERPA) where it applies. Parents and guardians, and eligible students (students who are 18 or older), have the right to inspect and review the student's education records and to request that we amend records they believe are inaccurate or misleading. To make a request, contact the school using the details in How to Contact Us. Where FERPA applies, you may also file a complaint with the U.S. Department of Education.

Your Choices

• Marketing emails: You can opt out of marketing emails by using the unsubscribe link in the email or by contacting us. You may still receive service-related and administrative messages, such as enrollment, academic, and billing notices.
• Text messages and WhatsApp: Reply "STOP" to opt out, or contact us as described in Text Messages, SMS, and WhatsApp.
• Targeted advertising: You can opt out of targeted advertising as described in Opting Out of Targeted Advertising. You can also adjust your ad preferences in your Meta, Google, and TikTok account settings, use the opt-out tools at https://optout.aboutads.info and https://optout.networkadvertising.org, and block or delete cookies in your browser settings.
• Global Privacy Control: We honor the Global Privacy Control (GPC) signal as described in Opting Out of Targeted Advertising.
• Do Not Track: Some browsers send "Do Not Track" signals. Because there is no common standard for these signals, we do not currently respond to them, but we do honor GPC.
• Declining to provide information: Some information is required to enroll, process payments, or consider a job application. If you do not provide it, we may not be able to provide those Services.

Data Retention

We keep personal information for as long as needed for the purposes for which we collected it, including to provide our Services and to meet legal, accounting, accreditation, and reporting requirements, resolve disputes, and prevent fraud. To decide how long to keep information, we consider its amount, nature, and sensitivity, the risk of harm from unauthorized use or disclosure, why we process it, and what the law requires. Academic records, such as transcripts and proof of graduation, may be kept for a long time, including permanently, so that we can verify a student's attendance and graduation and issue transcripts in the future. When we no longer need personal information, we delete it, de-identify it, or securely set it aside from further use.

Security

We use technical, organizational, and physical safeguards designed to protect the personal information we collect. For example, online payments are handled by Stripe so that we never store full card numbers. However, no website, internet transmission, or storage system is completely secure, and we cannot guarantee the security of your personal information.

Other Sites and Services

Our website links to sites and services operated by others, such as the Edutino platform, Stripe, and social media platforms. Those third parties' own privacy policies govern how they handle information they collect for their own purposes, and we are not responsible for their practices. We encourage you to read their privacy policies.

State Privacy Rights

This section applies to residents of U.S. states, including California (under the California Consumer Privacy Act as amended by the California Privacy Rights Act, or "CCPA") and other states with consumer privacy laws that apply to us (together, "State Privacy Laws"). Not all rights below are available in every state, and they do not apply to information that is exempt from State Privacy Laws, which may include certain student education records covered by FERPA.

Your rights

Depending on where you live, you may have the right to:

• Know: request the categories of personal information we have collected about you, the categories of sources, our purposes for collecting it, and the categories of third parties to whom we have disclosed it.
• Access: request a copy of the personal information we have collected about you.
• Correct: ask us to correct inaccurate personal information about you.
• Delete: ask us to delete personal information we have collected from you, subject to exceptions allowed by law (for example, records we must keep).
• Opt out of targeted advertising and "sharing": see Opting Out of Targeted Advertising below.
• Appeal: appeal our decision if we decline your request.
• Non-discrimination: exercise these rights without being discriminated against.

These rights are not absolute, and we may decline a request as permitted by law.

Opting out of targeted advertising

We do not sell personal information for money. Like many organizations, we use advertising services from Meta, Google, TikTok, and similar platforms, as described above. Some State Privacy Laws may treat this as "selling" or "sharing" personal information, or as processing for "targeted advertising." You can opt out by:

• emailing greisyscue@eicaschool.com with the subject line "Opt Out of Targeted Advertising";
• calling us at (305) 792-8242; or
• turning on the Global Privacy Control (GPC) signal in a browser or extension that supports it. We honor GPC as a valid request to opt out of the sale or sharing of personal information and of targeted advertising for that browser, as required by law. Learn more at https://globalprivacycontrol.org.

Because cookies and GPC work at the browser level, a GPC signal or cookie-based opt-out applies to the browser and device you use. To apply your choice to information we can link to you, such as your email address, contact us by email or phone.

Sensitive personal information

We process some information that State Privacy Laws treat as sensitive, such as Social Security numbers and government-issued identity documents collected at enrollment and the account login credentials students and parents use on the Edutino platform. We process these identifiers, student records, and dates of birth only to provide education and related Services, and we do not use or disclose sensitive personal information to infer characteristics about you or for any purpose that would require us to offer a right to limit its use under the CCPA.

Profiling and automated decisions

We do not use personal information for profiling in furtherance of automated decisions that produce legal or similarly significant effects, such as decisions about admission or employment. People at EICA make those decisions.

How to submit a request

To exercise your rights, email greisyscue@eicaschool.com or call (305) 792-8242. Please tell us which right you want to exercise and give us enough information to identify you and understand your request. We will respond within the time required by applicable law.

Verification. To protect your information, we verify requests to know, access, correct, or delete by matching information you give us (such as your name, email address, phone number, and, for student-related requests, the student's name and date of birth) with the information we have on file. We may ask follow-up questions, ask you to confirm the request from the email address or phone number we have on file, or, for a request about a student, confirm that you are the student's parent or guardian. We will use the information you give us for verification only to verify and respond to your request. We may also need to confirm that you live in a state whose law grants the right you are exercising. If we cannot verify your identity, we may deny the request. Opt-out requests do not require verification, but we may decline one we reasonably believe is fraudulent.

Authorized agents. In some states, you may use an authorized agent to make a request for you. We may ask the agent for proof that you gave them signed permission to act for you, or a valid power of attorney, and we may ask you to verify your own identity directly with us or confirm that you gave the agent permission.

Appeals. If we decline your request, you may appeal by replying to our decision or emailing greisyscue@eicaschool.com with the subject line "Privacy Request Appeal." If we deny your appeal, you may contact your state attorney general.

Our information practices

The following table describes our practices now and during the 12 months before the effective date of this Privacy Policy. It refers to the categories described in Personal Information We Collect and the categories listed in the CCPA. We collect personal information from the sources and use it for the purposes described earlier in this Privacy Policy. We keep it as described in Data Retention. Information you choose to type into free-form fields, such as a message, may contain other categories of information.

Additional information for California residents

Shine the Light. California residents may ask us for a list of the third parties to which we disclosed certain personal information during the previous calendar year for those third parties' own direct marketing purposes. To make a request, email greisyscue@eicaschool.com with "Shine the Light Request" in the message, and include your name, mailing address, and a statement that you are a California resident.

Additional information for Nevada residents

Nevada residents may opt out of the sale of certain personal information for money. We do not sell personal information for money, but you may submit a request for any future sales by emailing greisyscue@eicaschool.com.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above and post the new version on this page, and we may also notify you by other appropriate means, such as email. Changes take effect when posted unless we say otherwise. If a change would materially affect how we use personal information we already collected, we will ask for your consent where the law requires it.
